TERMS & CONDITIONS

The following is our normal Terms and Conditions. Please read carefully and don’t hesitate to contact us if there is anything you do not understand.

Thank you for entrusting the care of your pet to Gilmoor Vets Limited.

Outlined are our terms and conditions but if any aspect causes you concern or is not clear to you, please ask members of staff for further explanation or clarification

1. FEES

Costs are dependent on the time spent on an individual case, drugs, materials, external fees involved etc… VAT is incurred on all services and products at the current rate of 17.5%.

2. ESTIMATES OF ANTICIPATED COSTS

We expect to provide a written estimate of probable costs wherever possible before undergoing investigations or treatment of your pets’ condition. Please remember that an estimate is just that and is based on assumption that the processes will be as anticipated this is not always the case when dealing with medical and surgical conditions.

3. METHODS OF PAYMENT

All fees due are expected to be settled in full before departure from the surgery following consultation, surgery of collection of drugs/diets.

We accept payment by:-

  • Cash
  • Cheque (supported by and up to the limit of your bank Card)
  • Credit Card
  • Debit Card

(Unfortunately, at the time of writing, we are unable to accept American Express)

4. UN-ANTICIPATED COSTS/DIFFICULTY IN SETTLING BILL IN FULL

If you are unable to pay the fees incurred, as expected, please discuss the matter as soon as possible with the Vet involved in the care of your pet. It may be possible to arrange staged payments of the account but this may only be authorised by the Practice Manager, who is available Monday to Friday 9am to 1pm, or Practice Principal, Frances Allen.

5. SETTLEMENT TERMS

Accounts outstanding at the end of the month will be invoiced. For account clients a 10% discount may be taken if settled in full by the 20th of the month. Any balance outstanding 30 days after invoice will be subject to a surcharge of 2% per month of the due amount. After due notice, which you will be informed of in writing, the overdue accounts will be forwarded to our debt collecting agency, incurring further costs. If the balance still remains outstanding a small claims proceedings will be initiated. Should any cheque be returned by the Bank as unpaid, card payment not authorised or counterfeit cash received the original balance will be restored together with administrative charges and processed as above until the new balance is paid in full.

6. PET HEALTH INSURANCE

We strongly recommend that owners insure their pets against unexpected illness or injury and 3rd party liability. Please ask our staff about insuring your pet

7. COMPLAINTS

We hope to deliver a service that does not result in you dissatisfaction but if you are unhappy with any aspect of you or your pets’ treatment, please contact our Practice Manager, Janice Gash in writing.

8. OWNERSHIP OF RECORDS, INCLUDING RADIOGRAPHS AND LABORATORY RESULTS

Case records are the property of GVL and will be retained by us. However, copies will be forwarded to another veterinary practice upon request. Investigative procedures may involve the taking of x-rays or sampling for external laboratory analysis. Whilst we make a charge for rendering these services and interpreting the results ownership of the resulting results and records remain the property of GVL.
